Jonco IT & Security Ltd believes that privacy is a fundamental right. We will take steps to ensure that your personal data is kept safe and secure, and only for the amount of time necessary.

Who are we?
- We are Jonco IT & Security Ltd, trading as Jonco IT & Security, registered as a limited company in England and Wales.
- We are a data controller and data processor.
What information do we collect?
- When you browse our website, we do not collect logs of your visit. Microsoft Azure may collect these logs, which we cannot access.
- When you submit an enquiry to us via our contact form, we collect:
- Your company name (if applicable, so we know who we are dealing with).
- Your name (so we can correctly address you).
- Your contact number and email address (so we can contact you about your enquiry).
- Your contact preference (so we can contact you in your preferred way).
- A summary and details of your query (so we can determine how best to help you).
- When you submit an enquiry to us via email, we will collect the information that you give us, including:
- Your email address (so we can reply to you - this is part of using email).
- Your name (and the email address "display name", so we can correctly address you - this is part of using email).
- The email subject (this is part of using email).
- The email message (also called the message "body" - this is part of using email).
- If you call us via phone or join a Teams meeting (or similar):
- Your name (so we can correctly address you).
- A summary and details of your query (so we can determine how best to help you).
- Contact details such as phone or email address (se we can contact you about your enquiry).
- If cameras are used as part of the Teams meeting (or similar), we will be able to see you / your surroundings. Meetings are not recorded without your consent.
- If you complete our feedback survey, which uses Microsoft Forms:
- Your rating of our service and deliverables
- Optionally: A testimony that we may use on our website and to promote our business, including your name and company (your full name and full company name will not be used on the published testimony)
- Optionally: Any further comments
- Optionally: How you heard about us
- To send you an invoice, we will collect an email address or postal address to send the invoice to. This may be different from your contact address (e.g. if you are a company with an "accounts payable" team).
How do we use your data?
Personal data is only processed for the purpose it was collected. We do not sell your data to a third party, and do not share our contact book to allow third parties to send marketing materials.
We use your data to:
- To respond to your enquiry.
- To provide you services once you have chosen to accept our quote / proposal (including discussing your requirements, arranging meetings, communicating progress).
- To send invoices.
- We will only use your data for legal purposes, for example where you have given explicit consent or where we have a legitimate interest (e.g. responding to your query)
How long do we keep your data?
- If you accept our quote / proposal, your details will be kept for seven years after our last work together, unless you request deletion sooner.
- If you don't accept our quote we'll delete your contact details after two calendar months.
- Note that if we have a regulatory need to keep your data we will keep the minimum amount of data necessary to meet our obligations.
How do we protect your data?
- Data is stored on encrypted systems (such as encrypted laptops, or through third parties who encrypt data such as Microsoft 365).
- Access to data is provided only on a need-to-know basis.
- Staff accessing data must use multifactor authentication for their accounts.
- Data is deleted when it's no longer relevant. This ensures that your data isn't held beyond its specified need.
Who can access your data?
- Directors of Jonco IT & Security Ltd (where relevant to their role).
- Employees of Jonco IT & Security Ltd (where relevant to their role).
- Our accountant, if your details are used for invoicing (these details are stored in our accounts system, and our accountant treats such data as confidential).
